A plain-language explanation of how AI usage and credits work in BillCrop — so there are no surprises. The one rule that never changes: every AI write is a draft you approve.
Two ways to power the assistant
Managed credits (on Business and Pro) or bring-your-own-key (on Pro). Either way, every AI write is still a draft you approve.

Use your company's own AI provider key instead of managed credits — stored encrypted.
Managed credits
Business and Pro plans include managed AI credits. When you use the assistant — asking what needs attention, or having it draft an invoice or reminder — that activity draws on your plan's credits. Managed credits mean you don't need your own AI provider account; BillCrop handles it.
One-time trial credits
The 14-day trial includes 150 one-time credits so you can try assistant features. These are a one-time allowance for the trial — they're not a recurring monthly grant, and they don't roll over. When you move to a paid plan, your plan's credits apply.
Bring your own key (BYOK)
Pro supports bring-your-own-key: your company can connect its own AI provider key, stored encrypted, and use that instead of managed credits. This is useful if you want to manage AI usage under your own provider account.
Fair use
AI features are intended for normal business use within BillCrop. We apply reasonable fair-use limits to keep the service fast and available for everyone; heavy or automated bulk usage may be rate-limited. If you have unusual volume needs, Enterprise offers volume credits and custom terms.
You always approve
This is the part that never changes across plans: the assistant drafts, and you approve. Every write — an invoice, a reminder, a project, a CRM update — is a pending draft that a person reviews before anything is saved or sent. There are no autonomous actions, and the assistant only reads your own company's data to answer your questions.
