Quote vs invoice: what is the difference?
Quote vs invoice: a quote is the price before the work, an invoice is the bill after. See when to use each, what to include, and how to turn one into the other.
Many small jobs begin with a quote and end with an invoice. They look alike, so people mix them up.
Here is the quote vs invoice difference in plain words, with a sample quote, a simple way to go from one to the other, and the mistakes to avoid.
What is a quote?
A quote (or quotation) is a price offer you send before you do the work. It says what you will do, what it will cost and how long the price is good for.
What is an invoice?
An invoice is a bill. You send it after the work, or at an agreed stage. It asks for payment and has a due date. See how to make an invoice in Nigeria.
What is the difference between a quote and an invoice?
A quote is before the work and offers a price. An invoice is after the work and asks for payment.

| Quote | Invoice | |
|---|---|---|
| When | Before the work | After the work |
| Job | Offers a price | Asks for payment |
| Has a due date | No, it has an expiry date | Yes |
| Next step | Client says yes or no | Client pays |
Sources such as Tipalti and GoCardless describe the same split.
What should a quote include?
A quote should say what is included, what is not, the price, and when the offer ends.
- Your business details
- The client’s details
- A quote number
- The date and an expiry date (for example, valid for 14 days)
- A clear list of what is included
- What is not included
- The price of each part and the total
- How you will bill, such as 50% deposit and 50% at the end
- A line for the client to say “accepted”
Here is a short one you can copy:
QUOTE #Q-021
Valid until: [30 October 2026]
Website for [Client name]
- 5 pages, mobile friendly ...... [₦250,000]
- Contact form ................... [₦30,000]
Total: [₦280,000]
Payment: 50% to start, 50% when done.
Not included: photos, hosting.
To accept, reply "Accepted".
Is a quote the same as an estimate?
Not quite. A quote is a fixed price for a defined job. An estimate is a best guess. Use an estimate when the cost may change, and say so. Do not call an estimate a quote.
Is a quote legally binding?
It depends. The experts do not agree. GoCardless says quotations can bind you to that price. Shopify says formal quotes are generally not binding until the customer accepts. In plain terms: once the client says yes, treat it as a promise. Write clearly, add an expiry date and ask a lawyer for large jobs.
How do I go from quote to invoice?
Get the client’s yes, ask for a deposit if you agreed one, do the work, then send the final invoice with the quote number.

- Client accepts the quote.
- Ask for a deposit if you agreed one, and send a deposit invoice.
- Do the work.
- Send the final invoice with the same items and prices.
- Mention the quote number on the invoice so everyone can match them.
BillCrop lets you convert an accepted quote to an invoice in one click. No retyping.
When do I need a quote and when can I skip it?
Send a quote for any job where the price is not obvious. For a standard product with a list price, you can go straight to an invoice. For a custom job, a quote protects you and the client.
What mistakes should I avoid?
- Leaving off the expiry date, so the price is open forever.
- Not saying what is excluded, then arguing about it later.
- Calling a guess a quote.
- Changing the price on the invoice without telling the client.
- Reusing the same number for a quote and an invoice. Keep separate lists. See invoice numbering.
Tips
- Keep the same words on the quote and the invoice.
- Avoid surprises. If the work grows, send a new quote.
When the invoice goes out, make paying easy and remind kindly. See payment reminder messages. Once the money lands, send a receipt. See receipt vs invoice.
