Payment reminder message examples (email and WhatsApp)
Payment reminder message examples you can copy for email or WhatsApp: friendly, clear and final notice. When to send each one, and what never to say.
Asking for money feels awkward. So a lot of us wait, hope, and wait some more.
But a payment reminder is not rude. It is normal business. Most clients who pay late simply forgot, or the invoice got buried. A short message fixes that.
Here are payment reminder message examples you can copy, for email or WhatsApp. Change the words in [brackets].
When should I send a payment reminder?
Send the first reminder the day after the due date, and get firmer step by step.

Want to be early? A light note a few days before the due date also works for bigger or forgetful clients.
What is a good friendly payment reminder?
A friendly reminder assumes the client forgot. Send it the day after the due date.
Hi [Name], hope you're well!

If you've already paid, thank you, and please ignore this.

How do I write a firmer payment reminder?
Stay polite, but ask for a date. Send it about one week after the due date.
Hi [Name],
Following up on invoice [#1024] for [₦150,000], due on [30 Nov].
I haven't received payment yet.
Can you let me know when to expect it? Pay link: [pay link]
If something on the invoice needs fixing, tell me and I'll sort it today.
Thanks,

What should a final payment notice say?
A final notice is calm and factual, and it names a date. Send it by email about two weeks after the due date, so you have a record.
Subject: Final notice - invoice [#1024]
Hi [Name],
Invoice [#1024] for [₦150,000] was due on [30 Nov] and is now [14] days late.
Please pay by [date] using this link: [pay link]
If you can't pay in full, reply and we can agree a plan.

What does every payment reminder need?
Every reminder needs the invoice number, the amount, the due date and a way to pay.
- The invoice number. So they can find it fast. See invoice numbering.
- The amount. No guessing.
- The due date. So it is clear it is late.
- A pay link or bank details. Make it one tap to pay.
Should I use WhatsApp or email for reminders?
Use WhatsApp for the first two reminders and email for the final notice.
WhatsApp is great for message 1 and 2. People see it fast, and it feels personal. Send it in working hours. Need the full steps? See how to send an invoice on WhatsApp.
Email is better for the final notice. It is easy to keep, forward and show later if you need to.
If messages are not working, call. A two-minute call often clears up what three messages could not.
What should I never say in a payment reminder?
Never insult, threaten or shame the client. Do not tell other people about the debt. Do not write in capital letters. Stick to the facts: the invoice, the amount and the date. A calm message keeps the client and protects you if things go further.
Why do clients pay late in the first place?
Most of the time it is friction, not bad faith. The invoice was unclear, there was no pay link, or it landed in the wrong inbox. Fix this before you send it. See the invoice details that get you paid sooner and how freelancers get paid faster.
What if they say “I already paid”?
Ask for the transfer details and check your account. Reply calmly: “Thank you! Can you send the transfer receipt or the date and amount, so I can match it?” Often the payment went to the wrong account, or is still pending. If it is there, send a receipt. See receipt vs invoice.
What if they say “I will pay next week”?
Say thank you and write down the date. Reply: “Thanks, I will note [Friday 24 October]. Please send the pay link receipt when done.” Then check on that date. If it passes, send the next message in the plan. A promised date turns a vague delay into a clear deadline.
