Two papers, two jobs. People mix them up all the time.

Here is the simple way to remember it: an invoice says “please pay”. A receipt says “thank you, paid”.

This guide shows the receipt vs invoice difference, what goes on each, and a receipt you can copy.

What is an invoice?

An invoice is a bill you send after you deliver the goods or do the work. It tells the customer what they owe and by when.

It usually has your details, the customer’s details, an invoice number, the items and prices, the total and the due date. We list every part in our guide on how to make an invoice in Nigeria.

What is a receipt?

A receipt is proof of payment. You give it after the money arrives. It shows how much was paid, when, and how (cash, transfer or card).

A receipt can be short. Wise, in its invoice vs receipt guide, puts it this way: the invoice goes out before payment and the receipt after.

What is the difference between a receipt and an invoice?

An invoice asks for payment before it happens. A receipt confirms payment after it happens.

Do I need both an invoice and a receipt?

It depends on how you get paid.

  • You are paid on the spot (a shop or a cafe). A receipt is enough. There is nothing left to bill.
  • You are paid later (freelancers, agencies, trades). Send an invoice first. Send a receipt when the money lands.

What goes on a receipt?

A receipt needs your name, a number, the date, the amount, how it was paid and the invoice it covers.

  1. Your business name and contact
  2. The word “Receipt”
  3. A receipt number
  4. The date of payment
  5. The amount paid
  6. How it was paid
  7. The invoice number it covers

Here is a short one you can copy:

Date: [20 October 2026]
Amount: [₦193,500]
Paid by: [Bank transfer]

Thank you!
[Your business name]

Can I use a paid invoice as a receipt?

Sometimes. Mark it PAID with the date and how it was paid. That can work for small jobs. A separate receipt is cleaner, and it is easier to find later.

Why does it matter?

Receipts end arguments, keep your books right and make tax time easier.

  • Disputes. A client says “I paid”. You say “you did not”. A receipt ends the talk.
  • Your books. Unpaid invoices are money owed to you. Receipts show money you have received.
  • Tax time. Clean records make it easier to see what you earned.

If VAT applies to your sales, see VAT on invoices in Nigeria.

What is the difference between an invoice, a quote and a receipt?

A quote is the price before. An invoice is the bill after the work. A receipt is the proof after payment. For the first pair, read quote vs invoice.

What should I do if the client pays late?

Send a polite reminder, then a receipt when the money lands. Copy a message from our payment reminder guide. Number your receipts and invoices in order. See invoice numbering.

How long should I keep invoices and receipts?

Keep them for as long as your tax office or accountant says. Rules differ by country, so ask. In the meantime, save a copy of every invoice and receipt in one folder, named by number. A folder called “Invoices 2026” with files like “014-ade-85000.pdf” is easy to search.

What if a client asks for a receipt before they pay?

Send them a proforma or an invoice, not a receipt. A receipt says the money has already arrived. If it has not, call it an invoice. Mixing these up is how disputes start. If they need a price first, see quote vs invoice.
